Minutes of Waiheke Choral Society Committee meeting Tuesday 27th June 2023, held at Anne Willmann’s home.

 

Meeting started 5:05pm before WCS pot-luck mid-winter dinner party

Present: Maya, Andy, Joan, Sandra, Mark, Anne, Gavin

Minutes of last meeting held 23/5/23 accepted as true record.

 

Matters arising from Minutes of last meeting:

·         Christmas Concert:

-          Date tentatively set for Sunday afternoon of 10th Dec (ideally) or 17th Dec.

-          Andy to check with Local Board if council/Board has any Christmas celebrations organized for those dates/times.

-          Mark to similarly check with Whitakers re any “Live @ 5” performance.

-          Discussed options for how to make concert a bit different from previous years, eg, have audience join in during parts of 1st half rather than just 2nd half.

 

·         Mid-winter break:

-          Agreed to have whole of July as break, restarting practices on Aug 1st when Mark is due back (there is a small chance Mark won’t make the 1st Aug 7pm practice if his travels back to the island that day are delayed).

 

·         Updated Members List:

-          Maya hasn’t received updated members list from Dee yet.  Appears Dee sent list to Mark, Mark to forward to all committee members.

 

Financial Report:

·         June’23 Rocky Bay and St Peters Concerts:

-          Gross take was $1,810.  Not all expenses are known yet.

-          Agreed Mark to send $100 donation to St Peters in appreciation for allowing us to use auditorium, along with note of thanks.

 

General Business:

·         Restart of practices in Aug:

-          Joan to welcome any new people who show up wanting to join, get their names and contact details to give to Dee, and introduce them to whole choir.

-          Anne will be able to lead practices on 8th and 15th Aug, back “full time” in September.

-          Sandy and Mark will lead practices on 1st, 22nd and 29th Aug, suggested they share taking each night.

-          Sandy has a list of songs she would like to do; Sandy to give list to Maya and Anne for them to see if they already have copies of music for them.  Mark noted down the “MuseScore” web site for Sandy to lookup.

-          Mark has 2 songs that he has arranged.

-          Maya suggested Mark and Sandy get together during July to organize what they will do and how.

-          Anne emphasized need to prepare song sheets, etc, well in advance of 1st practice (need about 30 copies of each, plus get copies of music early to Carolyn so she can practice beforehand).  Mark or Gavin can print the song sheets.

-          Anne wants all choir members to also bring all their music that we have used both this year and last year – Maya to advise members via email.

 

·         End-of-June-Concert gifts:

-          Both Anne and Carolyn appreciated very much the end-of-concert gifts they received.  Thanks Maya for organizing.
